Using invoices and payments: the day-to-day

The working rhythm once billing is set up.

Monthly loop

  1. Invoice lands by email and in the portal, on your agreement schedule.
  2. You check lines against the work you saw that month — the daily updates are the reference.
  3. You pay by your chosen channel; receipt arrives.
  4. Block-hour balance on the invoice tells you if a top-up is coming.

Common moments

SituationWhat to do
A line looks wrongTicket with the invoice number and the line in question
Payment will be lateTell us before the due date
Need a copy for accountingPortal PDF, or ask for an export
Need records for your accountantAsk for a structured export — CSV or PDF, your choice
Paying multiple invoices at onceReference all numbers in the transfer; we match them

What never happens

No auto-charges for new work, no rounding surprises, no chasing while a dispute is open. If any of those ever seem to happen, that is a bug in our process — escalate it. See Escalating a stalled ticket.
