Using the purchase register

Using the purchase register

The register is the audit trail of everything bought on your behalf.

What each record shows

  • The request: what and why, and who asked.
  • The quote, if one was needed, and who approved it.
  • The order, delivery, and receipt — attached, not referenced.
  • The cost and the invoice it landed on.

Everyday uses

You want to...Do this
Check a purchase's statusAsk in the original ticket — the register links to it
See everything bought this quarterRequest a purchase export (CSV)
Reconcile against an invoiceEvery order cites its invoice number
Stop a recurring purchaseTicket: "cancel recurring [item]" — takes effect next cycle

Disputes

Challenge a purchase the same way as an invoice line: quote the purchase record, we pull the receipts. Disputed items pause, not chase.
